Schools and colleges today do far more than teach – they manage vast volumes of data, coordinate hundreds of stakeholders, comply with regulations, and deliver learning across physical and digital spaces simultaneously. At the heart of this operational shift is information technology (IT) and communication. Once limited to desktop computers and email, IT has grown into a full-stack infrastructure that drives how educational institutions are governed, administered, and how teaching itself is delivered. Understanding this transformation is no longer optional for educators and administrators – it is essential.

The impact of IT on educational administration

Research published in the journal Education Sciences confirms that in the digital era, ICT has become a cornerstone of modern educational management, reshaping how schools operate and interact with their stakeholders. The shift has been gradual but definitive. The 2010s brought cloud computing, big data analytics, and mobile technologies into school administration – enabling real-time data access and more sophisticated decision-making across multiple platforms.

Digital governance in education

Digital governance refers to the policies, systems, and processes through which educational institutions manage technology use, data, and decision-making. According to a 2025 study in Education Insights, governments and educational institutions must ensure that the processes behind digital policies and their implementation are open and accessible. This builds trust among educators, students, and parents – particularly when it comes to how student data is collected, stored, and used.

The OECD’s report on digital education ecosystems and governance offers a useful framework here. It distinguishes between two layers of digital tools: those used for system and school management (such as student information systems, admission platforms, and financial tools) and those used directly for teaching and learning (such as learning management systems and digital resources). Both layers need strong governance to work effectively and equitably.

A well-structured digital governance model balances top-down policy mandates with bottom-up, school-level innovation. Top-down approaches provide clarity, scale, and formal accountability. Bottom-up models are more responsive to local contexts and allow for greater experimentation. The most effective systems, as the Education Insights study notes, are those that are flexible, inclusive, and data-driven – creating space for national direction while fostering local initiative.

Automation and administrative efficiency

One of the most visible impacts of IT in education is the automation of routine administrative work. The Education Sciences systematic review identifies three core gains from ICT adoption in school administration: business simplification, resource optimization, and strengthened accountability. Automated systems reduce paperwork, minimize human error in record-keeping, and ensure regulatory compliance through digital workflows. Advanced analytics, meanwhile, allow administrators to allocate human, financial, and physical resources more efficiently – even enabling predictive maintenance for school facilities.

Accountability also improves significantly. When administrative processes are tracked digitally, there is a transparent audit trail at every level – from attendance records to budget expenditures. This transparency is especially important in publicly funded institutions where demonstrating outcomes matters.

Use of IT in teaching and administration

Online learning platforms and LMS

The explosion of online learning platforms has fundamentally changed how instruction is delivered. Market data shows that the global e-learning market is projected to reach between $336 billion and $400 billion in 2026, driven by the massive adoption of AI and structural changes that followed the COVID-19 pandemic. Learning Management Systems (LMS) – platforms like Moodle, Canvas, or Google Classroom – sit at the center of this shift. They allow teachers to upload resources, assign tasks, track student progress, and communicate with learners, all from a single interface. OneAdvanced’s education technology guide points out that an often-overlooked role of integrated LMS tools is their ability to surface insights into which teaching methods or resources are most effective for specific groups of students. When data shows that gamified content improves engagement for younger learners, or that video-based instruction works better for certain subjects, teachers can adjust their approaches accordingly.

Management information systems (MIS) in school administration

A Management Information System (MIS) is a centralized digital platform that collects, stores, processes, and reports data to support institutional decision-making. In the context of education, an MIS handles a wide range of administrative functions. A literature review published on ScienceDirect found that MIS adoption in schools leads to better accessibility to information, more efficient administration, higher utilization of school resources, reduced workload, better time management, and improved quality of reports.

The practical scope of an MIS in a typical school includes attendance monitoring, examination records management, financial management, staff and resource allocation, and reporting. According to OneAdvanced, a well-implemented MIS equips educational leaders with analytics dashboards that offer real-time insights into enrollment trends, grade distributions, attendance patterns, and resource utilization – enabling faster, evidence-based decisions.

The ScienceDirect review further notes that MIS systems can assist school managers in determining institutional goals, formulating strategic plans, distributing resources, and evaluating staff performance. In short, a good MIS transforms administration from a reactive, paper-heavy function into a proactive, data-informed process.

Communication technology as an administrative resource

IT is not just about data management – communication technology plays an equally important role. Digital communication tools enable real-time interaction between teachers, students, parents, and administrators. Automated notifications, parent portals, and integrated messaging systems keep all stakeholders informed without the delays and errors of paper-based communication. As 21K School notes, an Education Management Information System ensures that all stakeholders – including teachers, administrators, students, and parents – can communicate and access data to bring about meaningful improvements in institutional performance.

In India specifically, the UDISE+ system (Unified District Information System for Education Plus) collects data on enrollment, infrastructure, teachers, and outcomes from more than 1.5 million schools. This national-level initiative exemplifies how communication technology, when scaled, can underpin policy planning, monitoring, and the promotion of educational equity – directly supporting goals like those set out in the National Education Policy (NEP) 2020.

Challenges in IT adoption

IT adoption in education does not happen without friction. The U.S. Department of Education’s 2024 National Educational Technology Plan (NETP) frames three key barriers that limit the transformational potential of educational technology: the digital access divide (unequal access to devices and connectivity), the digital use divide (differences in how effectively students and teachers use technology), and the digital design divide (gaps in educators’ ability to design technology-enabled learning experiences). These are not unique to the United States – they reflect global challenges that any institution adopting IT must actively address.

The Education Sciences review also cautions that the benefits of IT tools are not inherent – they emerge from the quality of implementation, teacher training, and local infrastructure. Attendance tracking systems that work well in schools with stable internet and trained staff have failed in under-resourced settings. Data privacy remains a persistent concern as well, with K-12 Dive reporting in 2026 that school technology leaders are increasingly worried about how AI companies handle sensitive student data – including how their models are trained and where student information is stored.

The pace of change in educational technology is not slowing. Several major trends are already reshaping how schools and institutions operate.

Artificial intelligence in teaching and administration

Faculty Focus reports that according to a 2025 Microsoft report, 86% of education organizations now use generative AI – the highest adoption rate of any industry. The global AI education market reached $7.57 billion in 2025 and is projected to exceed $112 billion by 2034. On the administrative side, the OECD’s Digital Education Outlook 2026 notes that generative AI can streamline school management by improving a wide range of backend workflows – from scheduling and reporting to communication and resource planning.

For teachers, AI tools are reducing time spent on routine tasks. The same Faculty Focus report cites a Center for Democracy and Technology finding that 69% of teachers said AI tools have improved their teaching methods, while 55% agreed AI has given them more time for direct student interaction. AI-powered instruction is expected to continue growing as teacher workload pressures intensify.

Adaptive and personalized learning

eLearning Industry’s 2026 trends analysis highlights that AI-driven personalization increases student engagement by up to 60%, while AI-powered analytics improve course completion rates by 25 to 40%. Machine learning algorithms continuously adapt content, pacing, and resources based on individual student performance – moving education away from the one-size-fits-all model toward genuinely individualized learning paths. The OECD’s 2026 report reinforces this, noting that AI tutoring tools, when co-designed with teachers and grounded in learning science, can amplify instructional capacity beyond what either teachers or AI could achieve independently.

Data privacy and ethical AI governance

As AI becomes more embedded in education, the need for strong governance frameworks intensifies. K-12 Dive’s 2026 analysis reports that lawmakers are pursuing stricter student data privacy measures at both state and federal levels. Schools are increasingly required to scrutinize how AI tools handle student information and ensure compliance with data protection regulations. The OECD recommends moving beyond general-purpose AI tools toward purpose-built educational AI – systems designed with clear pedagogical intent, co-created with teachers, and grounded in evidence of learning effectiveness.

Immersive technology and the future classroom

Beyond AI, immersive technologies like virtual reality (VR) and augmented reality (AR) are entering the educational space. Market analysis from Didask estimates the VR market in education at $17 billion in 2024, expected to grow to $65 billion by 2032. These tools allow students to conduct virtual experiments, explore historical sites, or practice skills in simulated environments – transcending the physical limits of the traditional classroom. Meanwhile, blockchain-based credentialing is beginning to offer more secure and portable verification of student qualifications, giving learners greater ownership of their academic records.

The convergence of AI, MIS, LMS, communication tools, and immersive technology is not just changing how schools function – it is redefining what a school is. Institutions that treat IT and communication as strategic resources – investing in teacher training, data governance, and infrastructure equity – are better positioned to deliver quality education at scale. Those that treat IT as a technical add-on risk falling behind both operationally and pedagogically.
