The move toward mobile is particularly significant. With 67.2% of college students under 25 years old as of 2024, students expect to access admission information from their smartphones at any time. This has pushed institutions to develop mobile-optimized portals and apps that support everything from course discovery to document submission. Meanwhile, social media platforms have become important informal channels where prospective students seek peer opinions, watch campus videos, and directly message institutions with queries.

The omnichannel approach

The most effective institutions do not rely on a single channel. Research published in the Journal of Higher Education Policy and Management highlights that digital communication channels allow universities to segment messages and target students with different needs and attitudes – though this personalized approach requires additional resources and planning. An omnichannel strategy means that whether a student reaches out via a website chat, an email, a phone call, or a social media message, they receive consistent, accurate, and timely information. This consistency is what builds institutional trust.

Challenges in admission communication

Despite significant progress, institutions continue to face real challenges in communicating admission information effectively. One of the most persistent is information overload. In the attempt to be comprehensive, many institutions overwhelm students with dense documents, lengthy FAQs, and disorganized web pages. Students – particularly first-generation applicants who may not have family experience navigating higher education – can find this deeply discouraging.

Serving a diverse student population adds another layer of complexity. Institutions that manage admission communication effectively tend to share a few common practices. First, they centralize information. Rather than scattering admission details across multiple web pages and departments, they consolidate everything – eligibility, fees, deadlines, required documents, program descriptions – into a single, well-maintained digital portal. This reduces the chance of inconsistency and makes it easier for students to self-serve before reaching out to staff.

The role of help desks

Dedicated admission help desks – whether physical or virtual – remain an important tool for managing student queries. A well-staffed help desk provides students with a direct point of contact for complex or sensitive queries that require nuanced human judgment. Trained help desk staff can clarify program eligibility for non-standard applicants, assist students with document submission issues, and provide emotional reassurance during stressful application periods. For institutions serving large student volumes, help desks also act as quality-control checkpoints, flagging common points of confusion that signal where information needs to be improved.

The growing role of chatbots in admission support

Artificial intelligence-powered chatbots have emerged as one of the most impactful tools in modern admission communication. Unlike traditional help desks that operate during office hours, chatbots provide round-the-clock support – a critical advantage for international students across time zones and for applicants who research their options late at night or on weekends.

Research from EducationDynamics’ Online College Students Report 2024 found that over a third of undergraduate respondents and nearly half of graduate respondents reported using website chat features during their admission process – and a vast majority rated them helpful. The data is compelling: proactive nudges from chatbots have been shown to boost freshman enrollment by 3.3% and reduce enrollment melt by 21%, according to research on AI-assisted admissions communication.

Real-world examples illustrate the impact. Georgia State University uses a chatbot called “Pounce” to help students with enrollment, advising, and academic reminders via text and university platforms. Leeds Beckett University in the UK launched its “Becky” chatbot to help applicants learn about entry requirements, fees, scholarships, and accommodation – taking advantage of the fact that many applicants first contact institutions through social media before making an enrollment decision.

Chatbots also help unify support channels, drawing from a central knowledge base – university FAQs, guides, and institutional data – to deliver consistent answers, avoiding the problem of different departments giving students conflicting information. When a query exceeds what the chatbot can handle, the best systems offer a clear escalation path to a human advisor, preserving the personal touch where it matters most.

Keeping information accurate and inclusive

Technology alone is not enough. Admission policies and deadlines change frequently, which means chatbot knowledge bases and web portals must be reviewed and updated regularly to remain trustworthy. Institutions also need to account for students who may not be comfortable with digital tools. Multilingual support – in chatbots, web portals, and printed materials – is essential for serving international and non-native-language applicants. Accessibility features for students with disabilities, simplified language for first-generation applicants, and in-person support options for students with limited digital access are all components of a genuinely inclusive admission communication strategy.

The goal, ultimately, is not just to transfer information – it is to build confidence. A student who receives clear, timely, consistent, and accurate admission information is far more likely to complete their application, enroll, and persist through their studies.
