Every meaningful research journey begins long before data is collected or hypotheses are tested. It begins in the library – physical or digital – where a researcher must systematically sift through existing knowledge to understand what is already known, what remains unresolved, and where their own inquiry fits in. This process is called a literature search, and doing it well is both a skill and a discipline. Far from being a one-time task, a literature search is an iterative process – one that evolves as you uncover new sources, refine your questions, and follow trails of evidence across documents of every kind. Understanding the structured steps involved can save you enormous time and frustration, and ultimately leads to richer, more credible research.

Why a structured approach matters
The volume of published educational research is staggering. Without a clear plan, a researcher can spend hours reading tangentially relevant material, miss foundational studies, or end up with a pile of sources that don’t cohesively support their inquiry. A literature search carried out in a step-wise manner prevents disinterest, avoids redundancy, and makes the entire process specific and time-saving. The steps described below apply broadly – whether you are reviewing journal articles, government reports, theses, conference papers, or even non-print and web-based documents.
Step 1: Choosing and defining your area
The starting point of any literature search is identifying the specific area you want to investigate. This sounds straightforward, but researchers often underestimate how much focus is required here. You need to pinpoint not just a broad subject but the micro-variables within it – the specific aspects, populations, or contexts that define your study.
A practical method is to create a simple matrix on paper. List broad areas of study – such as teaching-learning, instructional design, or assessment and evaluation – along one axis, and educational levels or contexts – elementary, secondary, higher education, distance education – along the other. The intersecting cell gives you a focused area. For example, “assessment and evaluation” crossed with “distance education” narrows your focus to “assessment and evaluation in distance education.” From there, you can further specify: which aspects of assessment? Which type of distance education programme? This matrix approach helps you locate your area of interest and identify the variables associated with it before you ever open a database.
Step 2: Formulating a clear research question
Once your area is defined, you need a well-focused research question to anchor your search. A well-focused question is a critical step for facilitating good research – it determines what you look for, where you look, and how you evaluate what you find. A good research question is specific enough to guide your search but broad enough to yield a meaningful body of literature.
One widely used framework for this is the FINER criteria: the question should be Feasible, Interesting, Novel, Ethical, and Relevant. Before moving further into your search, it’s worth testing your question against these criteria. A question that fails on novelty, for instance, may lead you to a literature base where everything has already been said.
Step 3: Identifying keywords, synonyms, and subject headings
With a clear question in hand, the next step is building your vocabulary for searching. This means breaking your research question down into its core concepts and then generating keywords, synonyms, and related terms for each concept. Identifying the key words and concepts within your research question is where developing a search strategy begins.
Take a question like: “How do students view inclusive educational practices in schools?” The core concepts here are students, views or perceptions, inclusion, and schools. For each concept, you list not just the most obvious term but also its variants – “pupil,” “learner,” “young people” for students; “perspective,” “experience,” “voice” for views; “special education needs,” “belonging,” “disability” for inclusion. This ensures your search doesn’t miss relevant work simply because authors used different terminology.
Beyond keywords, many academic databases use controlled subject headings – standardised index terms that describe what an article is about regardless of the exact words used by the authors. A comprehensive search strategy is often best achieved by combining both keywords and subject headings. It’s good practice to maintain a master list of your search terms as you go, organised by concept – this makes it easier to adapt your strategy when you move across different databases.
It’s also worth noting that you should write down synonyms and related phrases, including any UK and US spelling variations – for example, “organisation” versus “organization,” or “ageing” versus “aging.” These small differences can affect whether your search retrieves all relevant results.
Step 4: Constructing the search strategy using Boolean operators
Once you have your keywords and subject headings, you combine them into a search strategy using Boolean operators – logical connectors that tell the database how to handle your terms.
- OR is used between synonyms or related terms for the same concept. It broadens the search by retrieving results containing any of the listed terms. Example: student OR pupil OR learner.
- AND is used between different concepts. It narrows the search by retrieving only results that include all specified concepts. Example: inclusive education AND student perspective.
- NOT is used to exclude unwanted results. Example: education NOT higher education.
Two additional tools sharpen your search further. Truncation (usually an asterisk *) captures word variants from a common root – educat* retrieves education, educational, educator, and so on. Phrase searching (using quotation marks) keeps multi-word terms together, so “inclusive education” is searched as a phrase rather than two separate words. These symbols may vary across different databases, so it pays to check the help documentation of each platform you use.
Step 5: Selecting databases and locating relevant reports
With your search strategy built, the next step is choosing where to execute it. No single database indexes all available research, so a thorough literature search almost always requires searching across multiple sources. An exhaustive search strategy would usually include multiple bibliographic databases, since relevant research in education may be scattered across journals indexed in different places.
For education research specifically, key databases include ERIC (Education Resources Information Centre), a free digital library sponsored by the U.S. Department of Education’s Institute of Education Sciences, as well as broader databases like JSTOR, Scopus, and Google Scholar. Discipline-specific databases like PsycINFO are useful when your research touches on the psychological dimensions of education.
Beyond academic journal databases, a comprehensive search should also extend to grey literature – reports, policy documents, conference proceedings, theses, and working papers that may not appear in standard databases. Increasingly, relevant research is published in forms other than academic journals – in books, institutional reports, and unpublished sources – and overlooking these can leave significant gaps in your review. Government education portals, NGO reports, and institutional repositories are all valid places to search.
Your search strategy also needs to be adapted to your research type, topic, and the specific manuscript you plan to write. A short coursework paper requires a different scope than a doctoral dissertation or a systematic review for publication.
Step 6: Screening, selecting, and managing results
After executing your searches, you’ll typically generate a large initial list of results. The next step is methodically narrowing this down to the most relevant sources. After a keyword and subject heading search, the researcher must manually browse through each title and abstract to determine the suitability of that article before retrieving the full text. This screening step is critical – reading every full-text document without prior screening wastes significant time.
When assessing sources, apply your inclusion and exclusion criteria consistently. These might relate to publication date, geographic context, research design, or the specific population studied. Once a source passes the screening stage, retrieve the full text and read it with your research question firmly in mind.
As you work through results, citation chaining is a powerful supplementary technique. Citation chaining involves checking references in all included papers so that relevant studies not yet identified can be added to your pool. If a paper cites several key works you haven’t found yet, follow those trails. Likewise, use citation databases to find newer studies that have cited the papers you’ve already identified as relevant. This “snowball” approach is especially useful for tracing the development of ideas over time.
Document everything as you go. Keeping track of searches saves time, as you can rerun them, store references, and set up alerts for new research on your topic. Reference management tools like Zotero or EndNote make this significantly easier, allowing you to organise your sources, annotate them, and generate citations automatically.
Step 7: Preparing abstracts and summaries
The final step in the literature search process – and one that is especially important for education researchers – is preparing structured abstracts or summaries of the sources you’ve selected. This transforms your collection of sources from a passive reading list into an active research tool.
An abstract, at its core, summarises the major aspects of a paper in a prescribed sequence: the overall purpose and research problem; the study’s design; major findings or trends; and a brief statement of interpretations and conclusions. When preparing your own summaries for a literature search, you don’t need to reproduce an abstract verbatim – you need to extract what is specifically relevant to your research question.
When abstracting a source you have not written, you cannot summarise key ideas by cutting and pasting. Instead, you must determine what a prospective researcher would want to know about the work. A useful technique is to highlight the sentences or phrases that are most central to the paper, then rewrite them in your own words in a separate document – focused on what this source contributes to your specific inquiry.
There are two main types of abstracts useful in literature searches. A descriptive abstract simply outlines what a document covers – its scope, purpose, and methods – without offering results or conclusions. An informative abstract goes further, summarising the actual findings and conclusions of the work. Informative abstracts are the most common type, especially in scientific and technical fields, and they are generally more useful for educational research purposes because they allow you to assess a study’s contribution quickly.
Organising your abstracts in a tabular format – noting the source, methodology, key findings, and relevance to your research question – creates a structured database of your literature. Reviewed articles may be summarised in the form of tables and further structured using organising frameworks such as a concept matrix. This makes it far easier to identify themes, spot gaps, and synthesise the literature when you begin writing your review.
The adaptability of the process across document types
One of the strengths of this structured approach is that it applies across a wide range of document types – not just peer-reviewed journal articles. The same steps of keyword identification, database selection, screening, and abstracting can be applied to government policy documents, curriculum frameworks, conference papers, theses, audio and video resources, and online sources. You may like to adjust the road map of your literature search as per your requirement – the steps are a framework, not a rigid script.
For web-based sources, feeding keywords into a search engine can yield enormous amounts of literature directly and from further linked sources. Audio and video programmes, still photographs, and documents in digital archive forms can all serve as primary sources of information in educational research, particularly for studies exploring real-world processes, contextual events, or institutional practices. The key is to apply the same rigour – evaluating relevance, credibility, and alignment with your research question – regardless of the source format.
Keeping the process iterative and documented
It’s worth emphasising that a literature search rarely proceeds in a perfectly linear sequence. You will often cycle back – refining your keywords after reading an initial batch of sources, discovering new databases after finding a reference in a relevant paper, or broadening your conceptual frame after a preliminary reading reveals adjacent topics you hadn’t considered. You may discover new keywords and articles through the references and citations that you find, and the best researchers treat this as a feature of good searching, not a sign of poor planning.
What matters most throughout this process is rigorous documentation: keeping a record of every search string used, every database consulted, every inclusion or exclusion decision made. This transparency is what allows a literature search to be reproducible, auditable, and ultimately trustworthy – whether for a classroom research project, a master’s thesis, or a full systematic review intended for publication.
