If you’ve ever tried to understand why students disengage in class, or how a school’s culture shapes teacher morale, you already know that numbers alone can’t tell the full story. That’s exactly what qualitative research is designed to do – dig into meaning, context, and lived experience. But while qualitative inquiry is celebrated for its flexibility, it still follows a clear set of steps. Understanding those steps is what separates a well-executed study from a meandering one. This post walks you through the essential process of conducting qualitative research in education, from framing the right question all the way to writing up findings.

What makes qualitative research different

Before jumping into the steps, it helps to understand what qualitative research actually is. As described in ATS Scholar, the qualitative researcher seeks context, nuance, and depth of understanding rather than falsifiability – in contrast to quantitative approaches that focus on hypothesis testing and measurement. In education, this means investigating questions like: How do first-generation students experience the transition to university? What beliefs shape how teachers approach inclusive classrooms? These are questions about human experience, and qualitative methods are built for them.

One more important characteristic to keep in mind from the outset: qualitative research is iterative, not linear. Researchers may move among steps iteratively and in a different order depending on the project’s needs. You will circle back, revise your questions, re-examine your data, and refine your interpretations throughout the process. That’s not a flaw – it’s the nature of the work.

Step 1: Identifying the research problem and formulating questions

Every qualitative study begins with a problem worth investigating. In education, this could range from understanding how students engage with technology in classrooms to exploring the challenges teachers face in inclusive settings. The problem should be significant, timely, and genuinely suited to a qualitative approach – meaning it calls for exploration and understanding rather than measurement.

Once the problem is identified, the next task is to formulate research questions. Focused questions are at the heart of actionable qualitative research. Crucially, qualitative research questions tend to be open-ended – they guide you toward the “how” and “why” of a situation rather than expecting a predetermined answer. A question like “How do newly qualified teachers navigate their first year in rural schools?” invites discovery. A question like “Do rural teachers perform better than urban teachers?” does not – that’s a quantitative framing.

At this stage, conducting a thorough literature review is also essential. According to the Journal of Engineering Education Transformations, a literature review helps researchers understand what is already known, identify gaps, and build a conceptual framework that will guide the rest of the study. This framework isn’t a rigid template – it’s a lens through which you interpret what you find.

Step 2: Designing the study

With a clear research question and a framework in place, the next step is to decide how the study will be structured. This involves choosing a research approach and a data collection method that fits the question.

Choosing a research approach

There are several common approaches used in educational qualitative research, each suited to different kinds of questions. A case study offers an in-depth exploration of a particular school, classroom, or program. Ethnography involves observing participants in their natural environment to understand culture and behavior over time. Grounded theory is used when the goal is to build new theory directly from the data. Phenomenology focuses on how individuals experience a particular phenomenon – for instance, the experience of returning to education as an adult learner.

The framework selected by the researcher directs the project toward specific methods, so alignment between the research question, the approach, and the methods used is critical for a coherent study.

Selecting participants

Sampling in qualitative research is intentional rather than random. The goal is not to generalize findings to a large population, but to gain a deep understanding of a specific context. Common sampling strategies include purposive sampling (selecting individuals with relevant experience), snowball sampling (asking participants to refer others), and convenience sampling (choosing participants based on ease of access, though this can introduce bias). Prioritizing information power – selecting participants who can provide rich, relevant insight – leads to better quality data than simply maximizing numbers.

Step 3: Collecting data

Data collection in qualitative research is where the researcher engages directly with the people, settings, and documents at the heart of the study. Common qualitative methods include interviews, focus groups, observation, and artifact analysis. In education specifically, these might look like semi-structured interviews with teachers, focus group discussions with students, classroom observations, or document analysis of policy texts and curriculum materials.

Collecting qualitative data also means staying attuned to the unexpected – a contradiction, an off-hand remark, or even a silence can become analytically significant if interpreted thoughtfully and in context. The qualitative researcher should maintain the role of an attentive, relatively unobtrusive observer, and should be flexible enough to adapt to what the field presents.

After data collection, transcription is the next key task. Audio recordings of interviews are converted into text for analysis. Transcription is far more than a technical step – it is the first act of interpretation, where the researcher begins to engage with the data in a deep and structured way.

Step 4: Analyzing the data

Qualitative data analysis is where the real intellectual work happens – and it is one of the most iterative parts of the entire process. The core task is to move from raw data (transcripts, field notes, documents) to meaningful findings.

Coding

The first stage of analysis is coding – assigning short labels or categories to segments of data that capture their key meaning. In the early stage, “open coding” – identifying main ideas rather than granular details – is prudent. Researchers create a codebook: a structured guide that indicates what each code represents, what should be included under it, and examples from the raw data. This helps maintain consistency, especially when multiple researchers are involved.

Coding is not a one-pass process. Further rounds of coding involve reanalyzing, finding patterns, and refining the categories created in the first pass. Codes may be renamed, merged, or split as understanding deepens. The number of codes generally reduces over successive rounds as patterns become clearer.

Developing themes

Thematic analysis is one of the most widely utilized methods for analyzing qualitative data, offering a structured yet flexible framework for identifying and interpreting patterns of meaning. Once coding is complete, researchers search for broader themes across the coded data – recurring patterns that speak directly to the research questions.

Searching for common themes is an iterative process where you move back and forth between the codes to identify commonalities. Once themes are identified, they must be reviewed against the full dataset to ensure they are coherent, distinct, and genuinely representative of the data. As applied research in education shows, the analysis process is never truly static or linear – it involves a cyclic, iterative engagement between the data and the researcher’s evolving understanding.

Interpreting findings

After organizing the data into themes, researchers must interpret what those themes mean in relation to the research questions and the existing literature. Researchers must interpret the meaning within the context of the research question. This interpretive step is where theory, context, and evidence come together to produce new understanding – and where the qualitative researcher’s judgment is most prominently on display.

Step 5: Ensuring trustworthiness

In quantitative research, validity and reliability are the standard quality benchmarks. In qualitative research, the equivalent concept is trustworthiness. The key criteria for ensuring quality include credibility, transferability, dependability, and confirmability.

Credibility refers to how well the findings reflect the reality of participants’ experiences – achieved through prolonged engagement, persistent observation, and triangulation (cross-checking findings across multiple data sources or methods). Transferability is about providing enough rich, contextual description so readers can judge whether findings might apply to similar settings. Dependability concerns the consistency of the research process and is supported by rigorous documentation. Confirmability means the findings are grounded in the data rather than the researcher’s preferences, and is supported through peer debriefing, member checking, and maintaining a clear audit trail.

A practical tool for confirmability is member checking – sharing analysis drafts or summaries with participants to verify that their experiences have been represented accurately. Triangulation, negative case analysis, and peer review are further strategies researchers use throughout data collection and analysis to strengthen the integrity of the study.

Step 6: The role of reflexivity throughout the process

Reflexivity is not a step that happens at the end – it is a practice that runs through the entire research process. Reflexivity is a methodological tool that involves continuous self-awareness and critical self-reflection by the researcher on their potential biases, preconceptions, and relationship to the research. In education research, this matters because researchers often study contexts they are personally connected to – their own schools, subject areas, or student populations. Those connections bring valuable insight, but they also bring assumptions that can shape what is noticed and how it is interpreted.

Qualitative researchers can engage in reflexivity by jotting notes about participants’ comments and their own thoughts during data collection, writing memos soon after interviews, and continually revisiting their own subjectivity statement throughout the project. The purpose of reflexivity is not to eliminate researcher influence – which is impossible in qualitative work – but to make that influence transparent, so that readers can judge the credibility of the findings accordingly.

Step 7: Reporting and disseminating findings

The final step is writing up the study in a way that tells a complete, credible, and coherent story. The process of writing up a qualitative study reflects the iterative nature of the research itself – as you write, you continue to analyze and fine-tune your findings. The structure generally follows the standard format of introduction, methods, results, and discussion, but qualitative reports place special emphasis on thick description and transparent methodological decision-making.

Good qualitative reporting makes the analytical process visible. Results should tell a complete story – not just listing themes, but showing how they connect, what they mean for practice, and what questions remain. In education research especially, the discussion section is where findings are linked back to classroom realities, policy contexts, and the broader body of literature.

Dissemination can take many forms: journal articles, conference presentations, practitioner reports, or institutional briefings. The key is that the research reaches the people who can use it – educators, school leaders, policymakers, and fellow researchers.

The iterative nature of the whole process

It’s worth stepping back to appreciate how all these steps connect. Qualitative research doesn’t move from question to conclusion in a straight line. Data collection informs analysis; analysis shapes further data collection; findings reshape the original questions. Qualitative data collection and analyses are often modified through an iterative approach to answering the research question. This is what makes qualitative research both demanding and intellectually rich – it requires the researcher to stay genuinely open to what the data reveals, even when it challenges initial assumptions.

For education researchers in particular, this flexibility is a strength. Classrooms, schools, and learning communities are complex, dynamic environments. A research process that can adapt as it goes is better positioned to capture that complexity than one locked into a predetermined design.
