Not all educational questions can be answered with numbers. When a researcher wants to understand why a first-generation college student persisted despite every obstacle, or how a classroom culture shifts when a new teacher arrives, no statistical model can fully capture the story. That is where qualitative research methods come in. Qualitative research is an umbrella term covering several distinct strategies, each designed to explore human experience, meaning-making, and social phenomena from the inside out. In education, five methods stand out for both their depth and practical relevance: biographical studies, phenomenological studies, grounded theory, ethnography, and case studies. Understanding how each works – and when to use it – is foundational knowledge for any education researcher.

What makes qualitative research different?

Before diving into individual methods, it helps to understand what sets qualitative research apart as a whole. According to the University of Connecticut’s Neag School of Education, qualitative research data is “soft” – rich in descriptions of people, places, and conversations, and not easily handled by statistical procedures. Researchers do not begin with a fixed hypothesis to test. Instead, they enter the field with open questions, collecting data through sustained contact with participants in their natural settings. The goal is to understand behavior from the subject’s own frame of reference, recognizing that reality is socially constructed and that multiple interpretations of the same experience are always possible. This philosophical stance makes qualitative research especially powerful in education, where the human dimension of learning and teaching is precisely what matters most.

Biographical studies

Biographical research focuses on the life of an individual – their experiences, turning points, and the meanings they attach to their own story. In an educational context, this method is frequently used to study the formation of teachers and learners across time. According to Wikipedia’s overview of biographical research, the approach has a unified aim: to give voice to individuals. It draws on a range of sources – diaries, letters, memoirs, autobiographies, and personal documents – as well as in-depth narrative interviews. The primary data collection tool is the biographical narrative interview, an open-ended conversation in which the participant is invited to narrate their own life with minimal interruption from the researcher.

The researcher begins by identifying an individual whose life story is relevant to the educational phenomenon under study – a veteran teacher, a dropout who later returned to school, a student navigating a new cultural environment. The SAGE Encyclopedia of Qualitative Research Methods notes that the researcher must also locate pertinent archival materials, identify interview subjects, and consider direct or non-participant observation of the contexts in which the subject lives and works. Data analysis in biographical research focuses on reconstructing the latent structures of meaning that run through a person’s life – the hidden patterns where individual experience and broader societal forces intersect. This makes biographical studies particularly valuable for understanding how a teacher’s personal history shapes their professional identity, or how educational opportunity (and its absence) leaves lasting marks across a lifetime.

Phenomenological studies

Phenomenology shifts the focus from one person’s life story to the shared structure of a particular lived experience. A phenomenological study asks: what is it like to go through this? What is the essential meaning of the experience for those who lived it? A paper published in the Journal of Graduate Medical Education describes phenomenology as an approach concerned with how individuals and groups behave and how those experiences shape meaning – framing the researcher as the primary instrument of data collection. In education, phenomenological studies have been used to investigate what the first year of university feels like for first-generation students, what it is like to teach in a rural school, or how learners experience failure and recovery.

Key features and steps

The researcher selects participants who have all lived through the specific experience being studied. Data collection relies heavily on in-depth, open-ended interviews in which participants describe the experience in their own words. Grand Canyon University’s doctoral research blog highlights that the success of a phenomenological study depends on participants’ willingness to freely express their inner thoughts and feelings – and that the method is especially well-suited to research involving marginalized groups. The researcher then reads and re-reads transcripts, identifying recurring themes and meaning units that together describe the essence of the experience – what all participants share, stripped of individual variation. The final product is not a story about one person but a rich, composite portrait of what a given experience truly feels like from the inside.

Grounded theory

Grounded theory has a different purpose from the two methods above. Rather than portraying a life or describing an experience, grounded theory aims to build a new theory directly from data. It is the method of choice when a social process or behavioral pattern is poorly understood and no adequate theoretical explanation yet exists. Lumivero’s research methodology resource explains that grounded theory is widely used in education, health, psychology, and sociology – especially when the goal is to generate new insights rather than test existing ideas. The method was originally developed by sociologists Barney Glaser and Anselm Strauss in the 1960s and has since evolved into several versions, including Strauss and Corbin’s structured coding approach and Kathy Charmaz’s constructivist version, which foregrounds the researcher’s own positionality and the co-construction of meaning with participants.

A grounded theory study begins with a broad, open research question rather than a fixed hypothesis. The researcher then collects data – typically through interviews or observations – and begins open coding: labeling raw data line by line to identify concepts. These initial codes are progressively refined into categories through axial coding (connecting categories to their conditions and consequences) and finally consolidated into a core category through selective coding. Delve’s guide to grounded theory identifies three critical mechanisms that distinguish this method: constant comparison (continuously comparing new data against existing codes), theoretical sampling (letting emerging insights determine who to interview next), and theoretical saturation (stopping data collection when new interviews no longer produce new insights). The end product is a grounded theory – an explanatory framework that is rooted in real-world data rather than imported from the existing literature.

Ethnography

Ethnography is the study of culture from within. Grand Canyon University describes it as a method in which researchers immerse themselves in the culture they are studying, emphasizing the lived experiences of participants from their own perspectives to produce rich, detailed insights. In education research, ethnography is used to study the culture of a classroom, a school, a teacher-education program, or a community of learners – examining the norms, rituals, values, and social hierarchies that shape educational experience in ways that test scores and surveys cannot detect.

The hallmark of ethnography is prolonged fieldwork. The researcher spends extended time in the setting – observing, participating, interviewing, and collecting documents – until they develop an insider understanding of how the group makes sense of its world. Indeed’s career development guide on qualitative research notes that data collection and analysis occur simultaneously, with the researcher recording observations in field notes that serve as raw material for later interpretation. Ethnographers also conduct interviews with the most knowledgeable members of the community, seeking their understanding of roles, responsibilities, and cultural meanings. The final ethnographic account presents the group’s culture in a way that is both descriptive and analytical, illuminating how broader social forces – class, race, language, policy – play out in everyday educational life. Researchers drawing on constructivist beliefs find ethnography especially powerful because it captures the multiple, competing realities that coexist within any educational setting.

Case studies

The case study method is one of the most widely used approaches in educational research, and it is also one of the most commonly misunderstood. A case study is not simply a detailed description of one situation. It is a systematic, in-depth investigation of a bounded case – a single student, classroom, school, program, or policy initiative, examined within its real-world context. GCU’s research blog notes that researchers use a bounded approach that confines the case study in terms of time or space, drawing on multiple data sources such as observation, interviews, and documents.

The first step in a case study is clearly defining and bounding the case – specifying what is and is not part of it. The researcher then maps the data sources to be used: classroom observations, teacher and student interviews, school records, policy documents, or student work samples. According to Indeed, for a study to qualify as qualitative research, the researcher must concentrate on the meaning of experiences for those involved, using content analysis to evaluate the resulting data. The strength of the case study lies in its ability to capture complexity and context simultaneously – showing not just what happened, but why it happened in this particular setting at this particular time. Multiple case studies can also be conducted in parallel, allowing for comparison across settings while preserving the richness of each individual case. Choosing the right method

Each of these five methods serves a different purpose, and the choice should always follow from the research question. If the question is about how a person’s life experiences shaped their educational path, biographical research fits. If the question is about the shared essence of a particular experience, phenomenology applies. If there is a social process that lacks an adequate theoretical explanation, grounded theory is the tool. If the goal is to understand how a cultural group or school community works from the inside, ethnography is the appropriate approach. And if the aim is a detailed, contextual examination of a bounded situation, the case study is the most direct route. Alignment between the research question and the chosen approach is not just good practice – it is a prerequisite for rigorous qualitative research. Selecting the wrong method does not merely reduce the quality of findings; it can produce results that fail to answer the question at all.
