Evaluation is only half the work. Once an instructor has assessed a student’s performance, the real question becomes: how do you communicate those results in a way that actually makes a difference? A poorly structured report can leave students confused, demotivated, or unsure of what to do next. A well-crafted one can clarify expectations, spotlight growth, and guide meaningful action. Reporting evaluation results is not a formality – it is a core part of the teaching and learning process, and doing it well requires both intention and skill.

Why reporting evaluation results matters

At its core, evaluation in higher education serves multiple stakeholders. Students need to understand how they are performing. Instructors need feedback on whether their teaching is working. And institutions need data to make programmatic decisions. Types of reporting methods

There is no single “best” format for reporting evaluation results. The right method depends on the purpose of the evaluation, the audience receiving the report, and the level of detail required. Here are the three most widely used approaches:

Grades and numerical scores

Grades – whether letter-based (A, B, C) or numerical (80/100) – remain the most traditional and universally recognized reporting method. A comprehensive evaluation report often combines all three – a grade or score for quick reference, a percentile rank for broader context, and descriptive commentary to make the data meaningful.

How to make evaluation reports understandable

Even the most thorough data is useless if it cannot be clearly understood by the people it’s meant to serve. Here are practical strategies that make evaluation reports genuinely accessible:

Contextualize the data

Raw scores need context to be useful. If a student scores poorly on a specific section of an exam, the report should explain why that section matters, whether other students faced similar difficulty, and what the result implies for the student’s overall learning trajectory. Without this framing, a number is just a number.

JMU’s assessment guidance highlights that data visualization – from simple bar graphs to more complex interactive displays – allows stakeholders to grasp important information more intuitively than text alone. A line graph showing a student’s scores across five assignments communicates progress far more effectively than a paragraph describing the same data. Offer cumulative, not just snapshot, results

A single assignment grade gives a snapshot. A cumulative report – one that tracks performance across quizzes, assignments, projects, and exams over a semester – reveals patterns. For example, a student might consistently perform well on theoretical assignments but struggle with applied tasks. Tailor the report to its audience

Be specific and actionable

Vague feedback is one of the most common – and most damaging – failures in evaluation reporting. Telling a student they “need improvement” without explaining what or how is not useful. Instead, feedback should point to specific skills, concepts, or behaviors. Rather than dwelling on what went wrong in the last exam, a good report frames performance in terms of what the student can do differently going forward. Ensure consistency and transparency

Recommendations in a report should be tied to findings and provide informed, actionable ideas – not just broad judgments about whether a student passed or failed. The ultimate aim is to drive improvement, and every section of the report should serve that purpose.

Close the loop institutionally

At a program level, effective use of evaluation data requires identifying patterns across courses and semesters, not just reviewing individual student outcomes. If multiple sections consistently show confusion about assignment expectations, that signals a curriculum-level issue, not just an individual student problem. Utah Tech University’s assessment framework describes this as collaborative faculty work – using results to evaluate whether students learned what instructors intended, and then making evidence-based changes to teaching and course design.

Common pitfalls to avoid

Even well-intentioned evaluation reports can fall short. Research on student evaluation data identifies several recurring problems: low response rates that skew results, feedback that reflects unconscious bias rather than actual performance, and data that is collected but never acted upon. On the reporting side, the most frequent mistakes include using excessive jargon, presenting results without recommendations, and failing to connect findings back to the course’s stated learning objectives. Dartmouth’s grading and feedback resources add that feedback should be timely – provided while students are still in a position to act on it, not weeks after the learning moment has passed.
