Every school administrator knows the challenge: how do you organise a timetable that meets the needs of hundreds of students, dozens of teachers, and limited classroom space – all at once? Two powerful timetabling techniques, blocking and setting, offer practical solutions for grouping students in flexible, efficient ways. These methods go beyond the traditional fixed-class timetable and give schools the tools to deliver a more responsive, student-centred curriculum. Let’s break down how each one works and why they matter.

What is blocking in school timetabling?

Blocking is a scheduling technique where key subjects are timetabled simultaneously across multiple classes within the same year group. For example, all Year 9 classes might have Mathematics scheduled at the same time on Monday and Tuesday mornings. This arrangement means that the students from those classes can be reorganised into different teaching groups for that particular subject, rather than staying in their regular form classes.

The core idea is straightforward. If three Year 8 classes all have English at the same time, the school can redistribute those students into three new groups – perhaps based on ability, learning needs, or the topic being covered. The regular class structure temporarily dissolves for that subject, and a more targeted grouping takes its place.

How blocking works in practice

Consider a secondary school with four classes in Year 10: 10A, 10B, 10C, and 10D. Under a blocking arrangement, the school schedules Mathematics for all four classes during the same periods – say, periods 1 and 2 on Monday, Wednesday, and Friday. During those blocked periods, the 120 students across the four classes are regrouped. The school might create five groups instead of four: a smaller group of students who need additional support, three mid-level groups, and one accelerated group. The number of groups created depends on the number of subject teachers available, so a school with five Maths teachers for that year group could split the cohort into five differently sized groups.

This is quite different from the traditional model, where each class stays together for every subject and the teacher tries to differentiate within a single mixed group. Blocking gives the school a structural tool to address differences in learning needs.

Benefits of blocking

Blocking offers schools several tangible advantages that directly affect both teaching quality and timetable efficiency.

Flexible grouping based on ability or need

The most significant benefit is the ability to regroup students in ways that a fixed-class system cannot support. When all classes in a year group study the same subject at the same time, the school can form ability groups, mixed-ability groups, or groups of varying sizes depending on the learning objectives. A small group of students who are struggling can receive more intensive support, while more advanced learners can be stretched with enriched content. This kind of tailored instruction becomes possible when students are placed in homogeneous groups and teachers can closely match their approach to the group’s level.

Efficient use of specialist teachers

Blocking allows schools to make better use of teachers with specific subject expertise. If a school has one teacher who specialises in advanced-level Mathematics, blocking ensures that teacher can be assigned to the appropriate group during the blocked period. Without blocking, the specialist might only teach one class, and students in other classes would miss out on that expertise.

Easier cover for absent teachers

When subjects are blocked, covering for an absent teacher becomes significantly easier. Since multiple teachers are working with the same cohort at the same time, the remaining teachers can temporarily absorb extra students or redistribute the groups. This minimises disruption compared to a situation where a single class is left without its teacher and needs an unrelated substitute.

Adaptable group sizes

Not every teaching situation requires the same class size. Some topics benefit from small-group instruction; others can be delivered effectively in larger settings. Blocking allows the school to create smaller or larger groups according to teacher availability and the demands of the lesson. A practical science session might need a group of 15, while an introductory lecture could accommodate 40 students. What is setting in school timetabling?

Setting, in the context of timetable construction, is a different technique from blocking. While blocking groups students for the same subject, setting offers students a choice of different subjects within the same time slot. It is the timetabling device used to create option columns – those familiar blocks on a secondary school timetable where students pick one subject from a list of alternatives.

For instance, during a particular set of periods, students in Year 10 might choose between Geography, History, and Social Studies. All three subjects run simultaneously, and each student attends the one they have selected. This is the mechanism that makes elective and optional subject programmes possible in secondary schools.

How setting works in practice

A school offering optional subjects to Year 11 students might create three option columns on the timetable. Each column contains four or five subjects that run at the same time. Students select one subject from each column. The composition of each column is determined by analysing student preferences, teacher availability, and room constraints. The goal is to allow as many students as possible to study their preferred combination of subjects.

For example, Option Column A might include Art, Computer Science, French, and Design & Technology. Option Column B might include Music, Business Studies, Spanish, and Physical Education. Setting brings its own set of clear benefits to the school timetable, particularly for older year groups where subject choice plays a larger role.

The primary advantage of setting is that it enables personalised learning pathways. Students can select subjects that align with their interests, strengths, or career aspirations instead of being locked into a one-size-fits-all curriculum. This sense of ownership over their education tends to improve engagement and motivation, which in turn supports better academic outcomes.

Balanced class sizes

Setting helps schools manage the problem of oversubscribed or undersubscribed subjects. If a subject like Art attracts far more students than expected, the school can offer it in more than one option column, spreading the demand across multiple time slots. Conversely, if a subject has low uptake, it can be combined with other low-demand subjects in the same column. This flexibility allows the school to create small classes in certain practical subjects without overloading other subject classes.

Optimised teacher scheduling

By spreading optional subjects across different time slots, setting allows teachers to focus on one group at a time. A teacher who offers both History and Politics, for example, can teach these in different option columns rather than being stretched across conflicting commitments. One of the practical strengths of setting is that the contents of option columns can be adjusted from year to year based on changing demand. If interest in one subject falls while another rises, the school can swap subjects between columns or add new options – provided the necessary teaching staff are available. This makes the timetable responsive to trends in student interest and shifts in the job market or curriculum requirements.

Blocking vs. setting: key differences

Although both blocking and setting are timetabling devices for alternative pupil grouping, they serve different purposes and operate in distinct ways.

Blocking is about scheduling the same subject across multiple classes at the same time so that students can be redistributed into different groups. It is primarily used for core subjects like Mathematics, English, and Science, where the school wants the flexibility to group students by ability or learning need.

Setting is about scheduling different subjects in the same time slot so that students can choose which one to study. It is primarily used for elective or optional subjects, giving students agency in shaping their own curriculum.

In terms of flexibility, blocking provides flexibility in how students are grouped, while setting provides flexibility in what students study. Both require careful planning and are constrained by teacher availability, room capacity, and student numbers. And both are considered superior to rigid streaming, where entire classes are ranked by a single measure of overall ability.

When to use blocking and when to use setting

The choice between blocking and setting – or a combination of both – depends on the school’s priorities and circumstances.

Use blocking when:

The school wants to differentiate instruction in core subjects. If there are enough teachers for a subject to create multiple groups, and the school believes that targeted teaching to ability groups will improve outcomes, blocking is the right tool. It is also useful when the school wants to deploy specialist teachers strategically – for instance, assigning an experienced teacher to a group that needs intensive support. Blocking works best in larger schools where there are sufficient classes in the same year and enough subject teachers to form multiple groups.

Use setting when:

The school needs to offer a range of optional subjects, particularly in upper secondary years where students are preparing for external examinations. Setting is essential for managing subject choice, balancing class sizes across popular and less popular options, and ensuring that students are not forced into subjects they do not want to study. It is also the tool of choice when the school wants to offer practical or vocational subjects that require smaller group sizes due to workshop or laboratory space limitations.

Combining blocking and setting for maximum flexibility

Many schools use both techniques within the same timetable. The core curriculum – Mathematics, English, Science – is blocked to allow ability grouping, while optional subjects are set to allow student choice. This combined approach gives the school the best of both worlds: targeted instruction where it matters most and student agency in areas where choice is appropriate.

The challenge lies in managing the constraints that both techniques impose on the timetable. Every block and every option column reduces the room for manoeuvre elsewhere. The organisational decisions embedded in a school’s timetable structure have a profound impact on students’ daily experience of learning. Getting the balance right requires ongoing dialogue between timetablers, department heads, and school leadership – along with a clear understanding of which priorities take precedence when trade-offs are unavoidable.

Ultimately, both blocking and setting are tools for putting students at the centre of the timetable. When used thoughtfully, they help schools move beyond rigid, one-size-fits-all scheduling and toward a system that recognises different learning needs and aspirations. The technical puzzle of fitting everything together is real, but the reward is a school day that works better for everyone – teachers and students alike.
