Running a school or college involves a lot more than just teaching. Behind the scenes, there’s student data to manage, timetables to create, resources to share, and records to maintain. Traditionally, these tasks were handled manually – piles of registers, handwritten schedules, and physical file cabinets. But with the rise of Information and Communication Technology (ICT), educational management has become significantly more organized, transparent, and efficient. From cloud-based school ERP systems to government-backed digital portals, ICT tools are now central to how institutions plan, operate, and grow.

It offers more than 50 modules covering everything from admission management, attendance tracking, and timetable generation to fee collection, examination management, and human resource handling. One of its key strengths is that its core modules are open source, meaning institutions can customize the software to suit their specific needs. Fedena also integrates with video conferencing tools like Google Meet and Zoom, making it a practical choice for schools that combine in-person and online learning. Parents, teachers, and students each get separate login access, enabling real-time communication and data transparency.
SchoolTool: open-source student information system
SchoolTool is another notable school management platform, particularly useful for institutions looking for a free and open-source solution. It functions as a student information system (SIS) that helps manage student demographics, attendance, gradebooks, and calendars. While it may not have the commercial polish of Fedena, it serves as a practical option for schools operating on limited budgets, especially in developing countries where affordability is a key concern.
Shala Darpan: digitizing school governance in India
Shala Darpan is a government-backed digital initiative developed by the National Informatics Centre (NIC) for the Rajasthan School Education Department. It serves as a centralized online database for all government schools, their staff, and students in the state. The portal handles a wide range of functions – from student admissions and daily attendance tracking to exam management, staff recruitment, and monitoring school infrastructure.
What makes Shala Darpan particularly significant is its scale and scope. It covers over 65,000 government schools and provides real-time data on student enrollment, teacher-student ratios, and academic performance. The system also administers key government schemes such as pre- and post-metric scholarships, free textbook distribution, and transport vouchers. School employees use the portal to update their profiles, submit leave requests, apply for transfers, and file annual performance reports. As part of the broader Digital India initiative, Shala Darpan promotes paperless governance and accountability in school administration.
Educational resource sharing
Access to quality learning material is a cornerstone of effective education. ICT has made it possible to move beyond physical textbooks and classroom-bound resources. Today, digital textbooks, e-learning platforms, and open educational resource repositories allow educators and students to access, share, and contribute to a vast pool of learning materials – often for free.
Digital textbooks and e-learning platforms
Platforms like DIKSHA (Digital Infrastructure for Knowledge Sharing) and e-Pathshala have transformed how textbooks and supplementary materials are delivered to students across India. DIKSHA, developed under the Ministry of Education, provides QR-coded textbooks, interactive content, and teacher training modules. e-Pathshala, developed by NCERT, offers digital versions of NCERT textbooks, audio, video, and other multimedia resources accessible on mobile devices and desktops.
Globally, platforms like Khan Academy and Coursera have set the benchmark for free, high-quality e-learning. These platforms cover subjects from basic mathematics to advanced science and are used by millions of learners worldwide. For institutions, adopting such platforms means supplementing classroom teaching with on-demand, self-paced learning resources – a model that benefits both teachers and students.
NROER: India’s national open educational resource repository
The National Repository of Open Educational Resources (NROER) is a collaborative initiative developed by the Central Institute of Educational Technology (CIET), NCERT, in partnership with the Department of School Education and Literacy, Government of India, and powered by the Gnowledge Labs at the Homi Bhabha Centre for Science Education. Launched in August 2013, the repository brings together digital and digitizable resources for school education – from primary to higher secondary level – in English, Hindi, and other regional languages.
NROER hosts a wide range of resources including educational videos, audio files, images, interactive modules, and documents. The content is organized using concept maps, providing an interdisciplinary linkage that helps teachers and students see how different areas of knowledge connect. All content on NROER is released under a Creative Commons Attribution-ShareAlike license, meaning anyone can freely reuse, adapt, and redistribute the materials. This aligns with UNESCO’s broader push for open educational resources to expand access to quality learning opportunities worldwide.
Data storage and record keeping
Every educational institution generates enormous volumes of data – student enrollment records, examination results, attendance logs, financial transactions, staff details, and more. Maintaining this data accurately and making it accessible when needed is critical for smooth institutional operations. ICT provides reliable tools for digital data storage and record keeping that replace cumbersome paper-based systems.
Why digital records matter
Paper records are vulnerable to physical damage, misplacement, and unauthorized access. They are also difficult to search through and nearly impossible to analyse at scale. Digital record keeping solves these problems by storing data in structured, searchable, and secure formats. When an institution needs to pull up a student’s academic history from three years ago, a digital system retrieves it in seconds – something that could take hours with manual files.
Digital records also enable data-driven decision making. Administrators can analyze attendance trends, identify underperforming students early, track fee collection patterns, and generate compliance reports – all from the same database. This is especially important for government agencies and policymakers who need aggregated data across hundreds or thousands of schools to plan resource allocation and policy interventions.
Tools for data management: MS Excel and MySQL
Microsoft Excel remains one of the most widely used tools for data management in educational settings, particularly in institutions that are still transitioning from fully manual systems. It allows administrators to organize student records, create gradebooks, maintain fee registers, and generate charts and reports. Its formula-based calculations reduce errors in tasks like result tabulation and financial accounting. For small to mid-sized institutions, Excel serves as an accessible and cost-effective starting point for digital record keeping.
However, as the volume of data grows, spreadsheets can become unwieldy. This is where database management systems (DBMS) like MySQL come in. MySQL is an open-source relational database system used to store, organize, and retrieve large volumes of structured data efficiently. It supports complex queries, which means an institution can run detailed searches – such as filtering all students in a particular batch who scored above a certain percentage in a specific subject – in a matter of seconds. Many school management software platforms, including some open-source solutions, use MySQL or similar databases as their backend data engine.
For institutions with more advanced needs, cloud-based databases and integrated ERP systems (like Fedena or OpenEduCat) offer even more robust data storage, with features like automated backups, multi-user access control, and data encryption for security.
Scheduling and activity management
Creating timetables, scheduling exams, planning events, and coordinating across departments – these are everyday realities of institutional life. When handled manually, scheduling is time-consuming and error-prone. A clash between two classes for the same room, or a teacher double-booked for two sessions at the same time, can cause significant disruption. ICT tools bring efficiency and accuracy to these processes.
Google Calendar for everyday scheduling
Google Calendar is one of the most widely adopted scheduling tools in educational settings. Its strength lies in simplicity and integration. Teachers, students, and administrators can create, view, and share events in real time. A teacher can schedule a parent-teacher meeting, share it with relevant parents, set automated reminders, and even attach a Google Meet link for virtual attendance – all within a single tool.
For institutions using Google Workspace for Education, Google Calendar integrates seamlessly with Gmail, Google Classroom, and Google Drive, creating a unified ecosystem for communication, content sharing, and scheduling. Colour-coded calendars help users visually distinguish between classes, meetings, deadlines, and personal events. Shared calendars at the department or school level ensure that everyone stays informed about upcoming activities without the need for circulars or notice boards.
FET: free timetabling software for schools
While Google Calendar works well for day-to-day event scheduling, creating a complete institutional timetable – one that accounts for teacher availability, room allocation, subject distribution, and student batches – requires specialized software. FET (Free Timetabling Software) is an open-source tool designed specifically for this purpose.
FET uses an algorithm to automatically generate timetables based on constraints set by the administrator. These constraints can include things like “Teacher A cannot take classes on Monday mornings” or “Physics lab can only accommodate one batch at a time.” The software processes all these conditions and produces a conflict-free timetable. This process, which can take administrators days to do manually, is completed by FET in minutes. The generated timetable can then be exported in HTML or other formats for easy distribution.
FET is especially valuable for large institutions with multiple sections, streams, and shared resources. It is freely available, runs on multiple operating systems, and has an active user community that contributes to its ongoing development.
Beyond scheduling: integrated activity management
Modern school ERP platforms go beyond standalone scheduling tools by integrating activity management into a single dashboard. For example, platforms like Fedena and OpenEduCat combine timetable management with attendance tracking, event calendars, exam scheduling, and transport management. This integration means that a change in the timetable automatically reflects across related modules – reducing the need for manual updates and minimizing the chances of miscommunication.
Institutions that invest in such integrated systems find that their administrative workflows become more streamlined, their staff spend less time on repetitive tasks, and their overall operational efficiency improves significantly.
The bigger picture: why ICT matters for educational management
The tools and platforms discussed above are not just about convenience. They represent a fundamental shift in how educational institutions operate. UNESCO has consistently emphasized the role of ICT in accelerating progress toward Sustainable Development Goal 4 – quality education for all. According to UNESCO, only about 40% of primary schools and 50% of lower secondary schools globally are connected to the internet, which means there is still a long way to go in making these tools universally accessible.
For institutions that do have access, adopting ICT tools for management leads to several tangible benefits: reduced administrative burden on teachers, improved accuracy of institutional data, greater transparency for parents and stakeholders, and better-informed decision making by administrators and policymakers. In countries like India, government-driven platforms like Shala Darpan and DIKSHA are demonstrating that technology can be deployed at scale to improve educational governance even in resource-constrained settings.
The key, however, is not just adopting technology for its own sake. Successful ICT integration in educational management requires training for staff, ongoing technical support, and a willingness to rethink traditional workflows. Technology is a tool – its effectiveness depends entirely on how well it is implemented and used.
