Strategic planning is what separates a forgettable screen recording from a video program that genuinely moves learners forward. Whether you are a teacher developing course content or an instructional designer building an online module, the planning decisions you make upfront will shape everything – from viewer engagement to learning outcomes. Here’s how to approach that process with intention.

Why planning is the real work in video production

It’s tempting to think of video-making as primarily a production task – scripting, filming, editing. But the most time-consuming and consequential phase is what happens before any of that: preproduction. Everything produced later – the script, the visuals, the pacing – flows from the quality of this planning stage.

Demographics – age, education level, occupation, geographic context – give you a baseline portrait of who you are designing for. But equally important is understanding what your audience already knows about the subject. If a video assumes familiarity that learners do not have, they will lose the thread quickly and disengage. On the other hand, pitching content too low wastes their time and undermines credibility.

A storyboard is a visual representation of a video’s timeline, breaking it down panel by panel with both audio script notes and visual descriptions. A script is not the same as a storyboard, but the two work together. The script gives you the exact words; the storyboard gives you the visual plan. When writing a script for an educational video, adopt a conversational tone – research supports that videos produced with a personal, informal feel are more engaging than highly-produced formal recordings. Speaking quickly and with enthusiasm, rather than reading slowly from a slide, keeps viewers attentive. Planning for context, learning modes, and connectivity

Practical questions to resolve in the planning stage include: Is the recording environment quiet and well-lit? Is the camera or screen-capture tool adequate for the content? These are not post-production fixes; they are planning decisions that shape the entire production approach.

From plan to impact: what strategic planning actually produces

A well-planned educational video program is not simply one that looks professional. It is one where every decision – about audience, content scope, video length, scripting tone, visual design, and integration with broader learning activities – traces back to a clear educational purpose. The ADDIE model, widely used in instructional design, structures this process as Analysis, Design, Development, Implementation, and Evaluation. Video production for learning maps directly onto this: the planning phase covers analysis and design, ensuring that what gets filmed is grounded in learner needs rather than content convenience.

When educators and designers invest in this planning process, the result is video content that learners actually watch, understand, and apply.
