When students look at a bar chart, a pie diagram, or a geographical map and are asked to write a paragraph about it, they are practising one of the most purposeful writing skills in language education – information transfer. This skill bridges the gap between visual data and written expression, pushing learners to not just see information but to interpret, organize, and communicate it clearly. Far from being an isolated writing exercise, information transfer is a cross-disciplinary skill that strengthens analytical thinking across Mathematics, Science, Geography, and beyond.

What is information transfer?

At its core, information transfer is the process of converting data from one form into another. As language educator Widdowson (1978) describes it, it is the “transformation of instances of discourse from one type into another” – and this includes moving between verbal and non-verbal modes of communication. In practical classroom terms, this means two things:

  • Non-verbal to verbal: Reading a chart, graph, table, map, tree diagram, or flowchart and writing a paragraph or report based on it.
  • Verbal to non-verbal: Taking a written paragraph and representing its content through a diagram, table, pie chart, or flowchart.

Both directions require the same underlying cognitive process – careful reading, interpretation, and purposeful communication. The most commonly practised direction in English classrooms, however, is non-verbal to verbal: students are given a visual and asked to write about it. This is the form that appears most frequently in school examinations and academic writing tasks.

Why information transfer matters in writing instruction

Writing is not just about grammar and vocabulary. It is about organizing thought. When a student is handed a line graph and asked to describe it in a paragraph, they must decide what the most important trend is, how to sequence their observations, and which details need emphasis. This process directly builds analytical and data literacy skills that are essential in academic and professional life.

According to research on EFL writing instruction, writing in a language supports reading comprehension, vocabulary expansion, and oral fluency simultaneously – meaning information transfer exercises offer compounded learning benefits in a single task. When a student writes about a science table or a geography map, they are simultaneously practising language skills and deepening subject-matter understanding. This makes information transfer one of the most efficient writing activities a teacher can assign.

Building analytical thinking through visual data

Interpreting visual information requires higher-order thinking. A student looking at a pie chart about water usage across different sectors in a state cannot simply copy the numbers – they must read proportions, identify the most significant values, and explain relationships in words. Graphs and charts act as language learning tools because they make abstract data concrete, giving learners a clear visual anchor from which to build their written response. This is especially valuable for students who struggle to generate content during free writing, because the visual provides the raw material – the student’s job is the craft of expression.

Cross-curricular relevance

One of the strongest arguments for teaching information transfer is its relevance across subjects. In Mathematics, students describe statistical data. In Science, they explain flowcharts depicting processes like photosynthesis or paper manufacturing. In Geography, they write about maps showing agricultural regions, population distribution, or climate zones. Linking writing opportunities to content areas such as math, science, and social studies means students practise expressing academic language in meaningful contexts. This cross-curricular application prevents writing from becoming an isolated English-class exercise and reinforces it as a functional academic skill.

Types of non-verbal inputs used in information transfer

Teachers use a wide range of visual formats when designing information transfer tasks. Each type presents a different cognitive challenge and calls for a different organizational approach in writing.

Bar charts and line graphs

These are among the most common visual inputs. Bar charts allow students to compare values across categories – for example, comparing literacy rates across different states. Line graphs show change over time, which calls for language of trends: words and phrases like “rose steadily,” “declined sharply,” or “remained stable.” In task-based learning approaches, students may be asked to examine a dataset on global internet usage and write a brief report describing trends and patterns – an activity that integrates language and numeracy skills in one exercise.

Pie charts

Pie charts represent proportional data, making them ideal for practising the language of percentages and comparison. A classic classroom task might involve a pie chart showing how a household budget is distributed across food, housing, transport, and savings. Students must identify the largest and smallest segments, note any near-equal proportions, and tie these observations together into a coherent paragraph that describes main points, trends, and comparisons without adding personal opinions.

Maps

Maps introduce a spatial dimension to information transfer. When students write about a map, they must organize their description geographically – moving from one region to another in a logical sequence, using directional language, and explaining what the map reveals about the subject. A map of agricultural regions, for instance, requires students to describe spatial patterns and explain how geography influences land use. Working with maps develops spatial and analogical thinking skills, which are core outcomes of geography education and highly transferable to real-world reasoning.

Flowcharts and tree diagrams

Flowcharts are used to represent processes in a step-by-step sequence. Writing from a flowchart requires the student to use sequencing language accurately – “first,” “then,” “following this,” “finally” – to walk the reader through a process in the correct order. Tree diagrams, on the other hand, show hierarchical relationships. Writing a paragraph from a tree diagram about energy sources, for example, requires students to group related items, explain categories, and draw logical conclusions about the relationships shown. Both formats sharpen the ability to write structured, logically ordered prose.

Tables

Tables organize numerical or descriptive data in rows and columns, requiring students to read across multiple fields and synthesize comparisons. A table comparing the population of rural and urban areas across several states, for instance, demands comparative language: “Maharashtra has the highest urban population,” “Chhattisgarh records the lowest proportion of urban residents,” and so on. Tables train students to be selective – to identify the most meaningful comparisons rather than simply listing all the numbers.

How to write an effective information transfer paragraph

Students often struggle not with reading the visual, but with translating what they see into well-organized writing. A clear step-by-step approach helps.

Step 1: Read the visual carefully

Before writing a single word, the student should study the chart, map, or diagram thoroughly. What is the title? What do the axes or labels represent? What are the most striking values or patterns? This stage is about understanding, not writing. Rushing past it leads to inaccurate or incomplete responses.

Step 2: Identify the key message

Every visual has a central finding – the main story the data tells. In a line graph showing temperature and tourist arrivals in a city, the key message might be a positive correlation between rising temperatures and increasing visitor numbers. Students should be trained to identify this central point first, because it will become the opening sentence of their paragraph.

Step 3: Organize before writing

Good information transfer writing is organized, not random. Students should decide the sequence in which they will present information: most to least significant, general to specific, or in the order the data naturally flows (such as chronological order for a time-series graph). Graphic organizers and paragraph frames are excellent scaffolding tools at this stage, helping students structure their response before drafting.

Step 4: Write with precision and flow

The paragraph should open with an overview of what the visual shows, followed by specific observations, comparisons, and a concluding summary of the overall trend or pattern. Precision matters – vague statements like “the numbers went up” should be replaced with specific ones like “sales increased by 40% between January and March.” Equally important is flow: transition words like “in contrast,” “similarly,” “meanwhile,” and “as a result” help the reader follow the analysis without confusion.

Step 5: Review for completeness and accuracy

A common error is omitting key data points or misreading values. Before submitting, students should cross-check their paragraph against the original visual to ensure all significant information has been captured accurately. Over-reliance on raw numbers at the expense of interpretation is another frequent pitfall – effective descriptions should begin with an overview of the data, followed by specific details and a brief summary of the main trends.

Common mistakes to avoid

Teachers working with information transfer tasks regularly encounter the same patterns of error. Being explicit about these mistakes in class can prevent them.

Being too vague: Writing “the chart shows an increase” without naming what is increasing or by how much makes the writing imprecise and unhelpful. Students must always specify subject and scale.

Omitting important data: Selectively reporting only the most obvious values while ignoring others results in an incomplete picture. All significant data points should appear in the written response.

Listing numbers without interpretation: Information transfer is not a transcription task. Simply listing figures without connecting them or explaining what they mean produces a response that reads like a data dump rather than an analysis. The student must contextualize the numbers – explaining why a particular figure is notable or what it suggests.

Failing to compare: Much of the value in visual data lies in the relationships between values. Students who describe each value in isolation, rather than comparing them, miss the analytical dimension of the task entirely.

Teaching information transfer effectively

For teachers, the key is to scaffold the task progressively. Begin with simple visuals – a basic bar chart with three or four data points – and model the entire writing process before asking students to work independently. Think-aloud modeling, where the teacher narrates their reasoning as they write, is particularly effective in making the interpretive process visible. Seeing how to write before jumping into a writing assignment is beneficial for all students, and model texts allow learners to understand both what and how to write.

As students gain confidence, move to more complex visuals – maps with multiple variables, tables comparing several entities across multiple attributes, or flowcharts depicting multi-stage processes. Task-based learning activities can range from simple tasks, such as interpreting basic bar charts, to more complex ones, such as creating surveys and presenting the results. Peer review sessions, where students read each other’s paragraphs and check them against the original visual, add an additional layer of analytical engagement and develop critical reading skills alongside writing.

It is also worth explicitly teaching the vocabulary specific to each type of visual. For graphs showing trends, students need words like “peaked,” “plateaued,” “fluctuated,” and “declined.” For maps, they need spatial language. For pie charts, they need the language of proportion: “accounts for,” “constitutes,” “the largest share belongs to.” Building these domain-specific word banks means students are not limited by vocabulary when they attempt to express what they have understood.

Information transfer as a lifelong skill

Beyond examinations and English classrooms, the ability to read visual information and convert it into clear written communication is a skill that students will use throughout their academic and professional lives. Reports, proposals, research papers, and workplace presentations all rely on the same process: interpreting data and communicating it in structured, accessible language. In daily life, most information is presented in visual and symbolic form – timetables, organizational charts, financial graphs, weather maps – and the ability to extract meaning from these visuals and articulate it in writing is a genuine literacy skill for the modern world. By teaching information transfer explicitly and systematically, teachers are not simply preparing students for exams. They are equipping them with a tool for lifelong communication.
